Common Inventory report problems and how to fix them

Fix common issues such as wrong values, missing items, no movement, high stock loss, low stock surprises, and unexpected report results.

If Inventory report figures look wrong, the cause is usually incorrect item details, missing cost prices, filters, wrong reporting period, manual stock corrections, or stock movements created by sales and invoice payments.

The stock value looks wrong

  • Check whether the item has a cost price.
  • Check whether the cost price is entered correctly.
  • Check whether the current stock quantity is correct.
  • Check whether the unit makes sense.
  • Open the item and review movement history.

An item is missing from Most sold items

  • Check whether the sale was inventory-linked.
  • Manual sales that are not linked to inventory may not appear as item-level inventory sales.
  • Check the reporting period.
  • Check whether the item is inactive or filtered out elsewhere.

Stock loss looks too high

  • Open Items with the most stock loss.
  • Check Removal reasons.
  • Open the affected item.
  • Review movement history.
  • Check whether invoice payments added to Sales reduced stock.
  • Check whether manual removals or damage entries were recorded.

Dead stock appears but the item did sell

  • Check whether the sale was recorded as a manual sale instead of a stock-linked sale.
  • Check whether the invoice item was a custom line instead of inventory-linked.
  • Check whether the reporting period includes the sale date.

Low stock value at risk looks wrong

  • Check the item’s current stock.
  • Check the low stock alert level.
  • Check the cost price.
  • If the item should not be tracked anymore, mark it inactive.

Manual corrections are high

  • Review which items are being corrected repeatedly.
  • Check whether staff are recording stock-linked sales correctly.
  • Check whether stock purchases are being recorded consistently.
  • Check whether physical counting is being done properly.
  • Use notes on stock adjustments so future users understand the reason.

Damage or expiry looks high

  • Check which item is affected.
  • Review storage and handling.
  • Review supplier quality.
  • Reduce order quantity for items that expire before selling.
  • Consider promotions before stock expires.
