Common inventory problems and how to fix them

Troubleshoot wrong stock, missing items, low stock warnings, supplier issues, deletion blocks, negative margin, and stock not reducing.

Most inventory problems come from wrong opening stock, missing stock adjustments, filters hiding items, incorrect price or cost entries, unlinked suppliers, or confusion about when stock is deducted.

I cannot find an inventory item

  • Clear filters and search again.
  • Search by item name.
  • Search by SKU or item code.
  • Search by description.
  • Check whether the item is inactive.
  • Check whether a supplier filter is hiding it.

Stock quantity looks wrong

  • Open the item.
  • Review recent stock movement history.
  • Check opening stock.
  • Check sales that reduced stock.
  • Check invoice payments added to Sales.
  • Check bill purchase history.
  • Use a manual stock adjustment if the physical count is different.

Stock did not reduce after an invoice

  • Check whether the invoice line is linked to inventory.
  • Check whether the payment was added to Sales.
  • Remember that custom invoice items do not reduce stock.
  • Check whether stock was too low and Bizwazi blocked deduction.

Stock did not reduce after a sale

  • Check whether the sale was a manual sale or stock-linked sale.
  • Manual sales do not reduce stock.
  • Stock-linked sales can reduce stock.
  • Open movement history to confirm whether a sale out entry was created.

Gross margin is negative

  • Check whether selling price is lower than cost price.
  • Check whether cost price was entered too high.
  • Check whether selling price was typed wrongly.
  • Check whether the item unit makes sense. For example, cost per box and selling price per piece can cause a misleading margin if units are mixed.

Low stock warning appears but I still have stock

  • Check the low stock alert level.
  • If the alert level is too high, edit the item and lower it.
  • If the physical stock is higher than Bizwazi, record a stock adjustment after checking why.

An item cannot be deleted

  • Check the danger zone.
  • The item may be linked to invoice lines, bill lines, sale lines, or movement history.
  • Mark the item inactive instead of deleting it.

Supplier is missing

  • Open the item and check supplier details.
  • Add a supplier if the supplier does not exist yet.
  • Edit the item and select the preferred supplier.
  • Use Review unlinked stock to find other items without suppliers.
