What the Invoices page is used for
The Invoices page is where you create, search, filter, duplicate, send, and manage customer invoices. It helps you track what customers owe, what has been paid, what is overdue, and which invoices have been emailed, shared on WhatsApp, downloaded, or manually marked as sent.
What you can do from the Invoices page
- Create a new customer invoice.
- Search invoices by invoice number, customer name, item, SKU, phone number, or email address.
- Filter invoices by status, payment state, delivery state, and date.
- Open an invoice to view its full details.
- Check invoice totals, balances, issue dates, and due dates.
- See whether an invoice is draft, sent, part-paid, paid, overdue, cancelled, or outstanding.
- See whether an invoice has been emailed, marked as sent, shared on WhatsApp, or downloaded as a PDF.
- Duplicate an existing invoice when a customer orders something similar again.
- Record full or partial payments against an invoice.
- Choose whether an invoice payment should also be added to Sales.
Why invoices are useful
- They help you record sales where the customer pays later.
- They help you track customer debts separately from normal cash sales.
- They give customers a professional document showing what they bought and what they owe.
- They help you follow up unpaid balances without relying only on memory or notebooks.
- They make it easier to see receivables: money expected from customers.
Small Kenyan business example
- A small electronics shop in Nairobi sells phone accessories to a regular customer on credit. Instead of writing the debt in a notebook only, the owner creates an invoice in Bizwazi with the customer name, phone number, items, due date, and payment instructions. When the customer pays by M-PESA, the owner records the payment on the invoice and can optionally add it to Sales.
- A salon in Kisumu offers hair services to a client who will pay at the end of the week. The invoice keeps the customer balance visible so the owner does not forget to follow up.
- A mini-mart in Mombasa supplies goods to a nearby office. The invoice records the item list, amount due, delivery status, and payment history.
