How invoice items work: inventory items and custom services

Understand how to add inventory-linked items and custom products or services to invoices.

Invoice items are the products or services being billed to the customer. In Bizwazi, an invoice item can be linked to inventory or entered as a custom item/service.

Inventory items

  • Use an inventory item when the invoice line is a stock item already saved in Bizwazi.
  • The invoice can show the item name, SKU, quantity, unit price, and line total.
  • Inventory selection is useful for mini-marts, shops, salons selling products, hardware shops, and food kiosks with stock.
  • The invoice page can show an Inventory badge on linked lines.

Custom items and services

  • Use a custom item or service when the item is not part of your stock list.
  • Examples include consultation, delivery fee, repair service, labour, design work, tutoring lesson, or a one-off service.
  • Custom products and services can be saved without linking to stock.
  • Custom invoice lines do not reduce inventory stock.

Quantity, unit price, and line total

  • Quantity is how many units or hours are being billed.
  • Unit price is the price for one unit.
  • Line total is quantity multiplied by unit price.
  • The invoice summary adds line totals together.

Stock warning

  • Bizwazi may allow you to save an invoice even if the quantity is higher than current stock.
  • Stock is only reduced later when an invoice payment is added to Sales for inventory-linked lines.
  • If stock is too low at that payment stage, Bizwazi can block the stock deduction.
