How invoice search and filters work

Learn how to search and filter invoices by customer, status, payment state, delivery state, and date.

The invoice search and filter area helps you find the exact invoice you need. This is important when you have many invoices across different customers, payment states, and delivery states.

Using the search box

  • Type an invoice number if you know it, such as INV-2026-06-0001 or BAT2026-05-0002.
  • Type a customer name to find invoices for that customer.
  • Type an item name to find invoices containing a product or service.
  • Type a SKU to find invoices connected to an inventory item.
  • Type a phone number or email address if you remember the customer contact details better than the invoice number.
  • Use shorter words if you are not sure of the exact spelling.

Using the status filter

  • All statuses shows every invoice that matches the other filters.
  • Draft shows invoices still being prepared.
  • Sent shows invoices that have been sent or marked as sent.
  • Part-paid shows invoices where the customer has paid something but not everything.
  • Paid shows invoices with no remaining balance.
  • Overdue shows invoices past the due date with a remaining balance.
  • Cancelled shows invoices that should no longer be treated as active.
  • Outstanding helps find invoices that still need payment attention.

Using the payment state filter

  • Balance due shows invoices where the customer still owes money.
  • Unpaid shows invoices where no payment has been recorded.
  • Part-paid shows invoices where some payment has been recorded but a balance remains.
  • Fully paid shows invoices where the balance is zero.

Using more filters

  • Delivery filters help you find invoices by whether they were emailed, shared, downloaded, marked as sent, or not sent yet.
  • Date filters help you find invoices by issue date or selected date range.
  • Use From and To dates when reviewing a specific month, week, or accounting period.

Common filter problems

  • If an invoice disappears, clear filters and search again.
  • If an invoice looks missing, check whether you filtered by the wrong status or payment state.
  • If an old invoice does not appear, check the date range.
  • If a customer name search fails, try searching by phone, email, item, or invoice number.
