How invoice notes, payment instructions and footer work

Learn what notes, payment instructions, and invoice footer are used for.

Notes, payment instructions, and footer text help make an invoice clearer and more professional. They also reduce customer confusion when payment is due.

Invoice notes

  • Notes are optional text shown on the invoice.
  • Use notes for delivery comments, special terms, customer instructions, or job details.
  • Example: Invoice in June, different month test.
  • Example: Please deliver to the front desk.
  • Example: Payment expected after delivery.

Payment instructions

  • Payment instructions tell the customer how to pay.
  • Examples include Pay by M-PESA, cash or card.
  • For a Kenyan small business, this can include M-PESA till, paybill, bank details, or cash payment instructions.
  • Clear instructions reduce back-and-forth with customers.

Invoice footer

  • The footer is extra text shown near the bottom of the invoice.
  • Use it for thank-you messages, return instructions, terms, or business notes.
  • Example: Please order again, and thanks.
  • The footer can be edited from the invoice workspace or invoice settings where available.
