Viewing and editing bills from the list

Learn when to use View and when to use Edit on a supplier bill.

Viewing and editing bills from the list

Each bill card may show buttons such as View and Edit.

View

Use View when you want to open the bill and check its full details.

This is the best option when you want to see:

  • Supplier details
  • Bill items
  • Uploaded files
  • Payment history
  • Notes
  • Balance due
  • Expense categories
  • Stock links

Use View when you only want to inspect the bill without changing it.

Edit

Use Edit when the bill information needs to be changed.

For example, you may need to edit a bill if:

  • The wrong supplier was selected
  • The bill date is incorrect
  • The due date needs to be added
  • The expense category is wrong
  • A bill item needs correcting
  • A receipt or PDF needs to be added
  • The notes need updating

Be careful editing bills linked to stock

If a bill is linked to inventory, editing quantities or stock-linked items may affect stock records.

Check carefully before changing stock-related bill items.

Best practice

Use View for checking.

Use Edit only when you need to correct or update the bill.
