Bill statuses explained
Each bill has a status so you can quickly understand what needs to happen next.
Draft
A draft bill has been started but may not be ready as a complete business record.
Use draft bills when you still need to check details before finalising.
No Amount
A bill may show No Amount when it has been saved but does not yet have a valid total amount.
This can happen if bill items are missing or the total is zero.
Unpaid
An unpaid bill has an amount due and no payment recorded against it.
This means the business still owes the supplier.
Part Paid
A part-paid bill has had at least one payment recorded, but there is still a balance due.
For example, if the bill total is KSh 10,000 and you paid KSh 4,000, the bill is part paid and the balance due is KSh 6,000.
Paid
A paid bill has been fully paid.
The balance due should be zero.
Overdue
An overdue bill is unpaid or part paid and past its due date.
Overdue bills should be checked regularly so supplier payments are not missed.
Cancelled
A cancelled bill is no longer active.
Use cancelled carefully. A cancelled bill may remain visible for record keeping, but it should not normally be treated as money still owing.
