How notes work on expenses

Learn when to add a note and what makes a useful expense note.

Notes are optional, but they make expense records easier to understand later. A note is especially useful when the category does not fully explain the spending.

When to add a note

  • Add a note when the expense is unusual.
  • Add a note when you may need to explain the expense to someone later.
  • Add a note when the expense relates to a specific supplier, customer, job, delivery, or bill.
  • Add a note when the category is broad, such as Other, Stock/Supplies, or Repairs.
  • Add a note when the receipt alone may not be clear.
