When to mark a supplier inactive instead of deleting it

Understand why inactive suppliers are safer than deleting suppliers with stock, bill, or historical records.

Marking a supplier inactive is usually safer than deleting it. Inactive suppliers stay in your historical records but are no longer treated as normal active suppliers.

Use inactive when

  • You no longer buy from the supplier.
  • The supplier has closed.
  • The supplier’s prices are no longer acceptable.
  • The supplier is unreliable.
  • You want to keep old bills or stock history.
  • The supplier is linked to stock or bills and should not be removed completely.

Why inactive is useful

  • It keeps old records clear.
  • It protects bill history.
  • It protects inventory history.
  • It avoids breaking reports.
  • It stops old suppliers from being confused with current suppliers.

What inactive means

  • The supplier still exists in Bizwazi.
  • Past bills and inventory links remain visible.
  • The supplier can be reactivated later if needed.

Example

  • If a wholesaler supplied stock last year but you no longer use them, mark the supplier inactive. This keeps old bill and stock records understandable without treating the supplier as current.
